We collect information you provide directly to us, including your name, email address, phone number, and dental preferences when you create an account or complete our matching quiz. We also collect location data (city or postal code) to match you with nearby dental practices. We do not collect or store payment card information — all payments are processed by our secure third-party payment provider.
2. How We Use Your Information
We use the information we collect to match you with dental practices that fit your needs, preferences, and insurance; to send appointment confirmations and reminders; to process rewards and gift card redemptions; to improve our matching algorithm; and to communicate service updates. We do not sell your personal information to third parties.
3. Information Sharing
When you book an appointment through SmilesMatch, we share your name, contact information, and relevant dental preferences with the dental practice you selected. We may share aggregated, anonymized data with partners for research and improvement purposes. We may disclose your information if required by law or to protect the rights and safety of SmilesMatch, our users, or others.
4. Data Retention
We retain your account information for as long as your account is active. If you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes.
5. Cookies & Tracking
We use cookies and similar tracking technologies to remember your preferences, analyze platform usage, and improve our services. You can control cookie preferences through your browser settings. Disabling cookies may limit some features of the platform.
6. Security
We implement industry-standard security measures including encryption in transit (TLS), encrypted data storage, and role-based access controls. However, no method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password for your account.
7. Your Rights
Under applicable Canadian privacy law (PIPEDA and provincial equivalents), you have the right to access the personal information we hold about you, request corrections, withdraw consent for certain uses, and request deletion of your account and associated data. We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by a prominent notice on our platform. Continued use of SmilesMatch after changes take effect constitutes your acceptance of the revised policy.
